Role: ServiceNow HRSD Specialist
An organization, Retail was hiring 200+ employees monthly across multiple regions. The onboarding process was fragmented, relying on manual checklists, disparate emails, and phone calls between HR, IT, and Facilities. This led to "Day 1 Friction," where 40% of new hires didn't have their laptops or badge access on their first day, negatively impacting employee retention and brand reputation.
WHAT WE DECIDED UPON:Implement ServiceNow HRSD to create a unified, automated onboarding experience. The goal was to consolidate all cross-departmental tasks into a single "Lifecycle Event" and provide a "consumer-grade" self-service portal for new hires.
ACTION:1. Lifecycle Events: Designed a multi-tier Enterprise Onboarding Lifecycle Event that automatically triggered tasks for IT (laptop provisioning), Facilities (desk assignment), and Finance (payroll setup).
2. Employee Service Center (ESC): Developed a personalized HR Portal where new hires could sign documents via DocuSign integration, watch orientation videos, and chat with HR.
3. HR Case Management: Configured HR Criteria and COE (Center of Excellence) structures to ensure sensitive HR cases (like payroll or employee relations) were only visible to authorized HR staff.
4. Document Management: Implemented Employee Document Management (EDM) to automatically move signed contracts and IDs from the onboarding case into a secure, long-term digital employee file.
